Key Responsibilities:
- Manage executive calendars, Outlook scheduling, and meeting coordination
- Organize business meetings, prepare minutes of meetings, and follow up on action points
- Handle travel arrangements including flights, hotel bookings, transportation, and business dinners
- Prepare presentations, reports, business documents, and executive summaries
- Support compliance processes and maintain required paperwork and documentation
- Assist in preparing tender contracts and tracking marketing activities
- Support budgeting processes, OPEX tracking, and approval workflows
- Coordinate business and marketing events according to company compliance policies
- Process invoices, maintain departmental records, and ensure accurate documentation
- Support onboarding activities and office setup for new employees
- Coordinate with internal teams, regional directors, and external stakeholders
- Ensure confidentiality and professionalism in all executive office operations
- Use Microsoft Office, Webex, Teams, and business systems effectively for daily operations
Job Requirements:
- Bachelor’s degree in Office Administration, Business Administration, or related field
- 3 to 5 years of experience as an Executive Assistant supporting senior management, directors, or VPs
- Fluency in English, Arabic, and French is required
- Strong computer skills and proficiency in Microsoft Office Suite, Webex, and Teams
- Excellent communication, interpersonal, and organizational skills
- Strong time management and multitasking abilities
- Ability to work under pressure and manage confidential information professionally
- High attention to detail, accuracy, and follow-up skills
- Reliable, punctual, and capable of handling multiple responsibilities simultaneously
